Creating & Editing Templates

Templates ensure consistent, professional emails across your team. Create them once, then reuse them in campaigns and individual emails.

Creating a template

    Click "Create Template"

    From the Templates page, click the button to open the template creation modal.

    Set the template name

    Give your template a descriptive name (e.g., "Event Follow-Up" or "Initial Outreach"). This is for internal reference only — it will not appear in the email.

    Write the subject line

    Enter the email subject. You can use variables here too — for example, "Hi {{contact.first_name}}, great meeting you at {{company.name}}".

    Compose the body

    Use the rich text editor to write your email content. Toggle to HTML mode if you need full control over formatting. Insert variables by typing the variable syntax.

    Add attachments (optional)

    Attach files that will be included with every email sent using this template. You can add inline images or regular file attachments.

    Save the template

    Click "Save" to create the template. It will appear in the templates list and be available when creating campaigns.

Visual vs. HTML mode

The template editor supports two modes:

  • Visual (rich text) — A WYSIWYG editor with formatting toolbar. Bold, italic, links, lists, and text alignment are all available.
  • HTML — Write raw HTML for precise control. Useful for custom layouts, branded templates, or copying HTML from external email builders.

You can switch between modes while editing. Be aware that switching from HTML to Visual may adjust some formatting.

Using variables

Insert variables by typing the {{variable_name}} syntax. Variables are replaced with real contact and company data when the email is sent. See the full list at Variables Reference.

Example template body:

Hi {{contact.first_name}}, It was great connecting with you at the event. I noticed that {{company.name}} is doing impressive work in your industry. I would love to schedule a quick call to discuss how Booked55 might help your team. Best regards

Editing an existing template

From the templates list, click the edit button on any template row. The edit modal opens with the current content pre-filled. Make your changes and save.

Deleting templates

Click the delete button and confirm. Deleting a template does not affect campaigns that already used it — those campaigns retain a copy of the content at the time they were created.
