Creating & Editing Pipelines

Setting up the right pipeline structure is key to a smooth sales process. This guide walks you through creating a pipeline, adding stages, and configuring optional automations.

Creating a new pipeline

  1. 1

    Navigate to pipeline settings

Go to Workspace Settings → Pipelines & Stages, or use the Opportunities dropdown in the sidebar and click "New Pipeline."

  2. 2

    Set pipeline name and description

Give your pipeline a clear name (e.g., "Enterprise Sales" or "Event Follow-up"). Add an optional description to help your team understand its purpose.

  3. 3

    Add stages

Click "Add Stage" to create your first stage. Enter a name, then continue adding stages in the order contacts will move through them. You can reorder stages using the up/down arrows.

  4. 4

    Configure stage automations (optional)

For each stage, click the automation icon to set up triggers: move to another pipeline, duplicate contact, mark as client, generate activity on entry, color change on inactivity, or AI prompt execution.

  5. 5

    Save the pipeline

Click "Save" to create your pipeline. It will appear in the sidebar under Opportunities and on the Workspace Settings page.

Editing an existing pipeline

From Workspace Settings → Pipelines & Stages, click the edit button on any pipeline row. You can:

  • Rename the pipeline or update its description.
  • Add, remove, or reorder stages.
  • Update stage automations.

Designing effective stages

Best practices for stage design:

  • Keep it simple — Start with 4-6 stages. You can always add more later.
  • Use action-oriented names — “Meeting Booked” is better than “Stage 3.”
  • Define clear criteria — Each stage should have a clear entry condition so your team knows when to move a contact forward.
  • End with a win and a loss — Include both a “Closed Won” and “Closed Lost” stage to track outcomes.

Deleting a pipeline

From the pipelines list in Workspace Settings, click delete on a pipeline. A confirmation dialog will appear. Deleting a pipeline removes all pipeline items and their history.
