AI Task Review

Booked55's AI analyzes your pipeline activity, contact engagement, and historical patterns to suggest tasks that can help you close more deals. These suggestions appear as pending approvals that you review before they become active tasks.

How AI task suggestions work

The AI considers several signals when generating task suggestions:

• Pipeline stage duration — If a contact has been in a stage for longer than average, the AI may suggest a follow-up.
• Activity gaps — If there has been no recent activity with a contact, the AI suggests re-engagement.
• Stage automations — When AI prompts are configured on pipeline stages, the AI generates context-aware suggestions.
• Contact detail patterns — Based on the contact's data and relationship history.

Reviewing pending tasks

On the Activities page, click “Pending Approvals” to see AI-generated tasks waiting for your review. For each suggestion:

• Approve — Accepts the task and adds it to your active task list.
• Edit and approve — Modify the task description or date before approving.
• Dismiss — Removes the suggestion without creating a task.

AI Todo on contact detail

Each contact detail page has an AI Todo tab showing AI-suggested tasks specific to that contact. This gives you a focused view of what the AI recommends for a single relationship.

Improving AI suggestions

The quality of AI suggestions improves when you:

• Log activities consistently so the AI has engagement data to analyze.
• Configure AI prompts in your workspace settings with specific instructions.
• Use pipeline automations to trigger AI at the right stages.
