AI Prompts
AI Prompts are configurable instructions that the AI uses when triggered by pipeline stage automations. By writing specific prompts, you control what the AI analyzes and what suggestions it generates.
Creating a prompt

Navigate to AI Prompts
Go to Workspace Settings → AI Prompts from the sidebar.

Click "Create Prompt"
Open the prompt creation page.

Set a name
Choose a descriptive name (e.g., "Follow-Up Suggestion" or "Deal Analysis"). This name appears when selecting prompts in stage automations.

Write the prompt text
Compose the instruction for the AI. Use variables like {{variable_name}} to inject dynamic data when the prompt runs. Be specific about what you want the AI to do.

Save
Click "Save" to create the prompt. It is now available for assignment to pipeline stage automations.
Using variables in prompts
Prompts support {{variable_name}} syntax. When the prompt is executed, variables are replaced with real data from the contact and pipeline context.
Example prompt:
Analyze the contact {{contact_name}} from {{company_name}}.
They are currently in the "{{stage_name}}" stage of the {{pipeline_name}} pipeline.
Suggest three specific follow-up actions based on their profile and current stage.Assigning prompts to stages
After creating a prompt, assign it to a pipeline stage:
- Go to Pipelines & Stages and edit a pipeline.
- Click the automation icon on the stage where you want AI to run.
- Enable the “AI Prompt” automation and select your prompt from the dropdown.
- Save the pipeline.
Now, when a contact enters that stage, the AI will process the prompt and generate suggestions visible on the contact's AI Task Review and the contact detail AI Todo tab.
Managing prompts
- Edit — Click a prompt in the list to open the edit page. Update the name or text and save.
- Delete — Remove a prompt. Stages using this prompt will lose their AI automation and need to be updated.
Best practices
- Create different prompts for different stages (e.g., “Initial Outreach” vs. “Negotiation”).
- Include context about the stage in the prompt so the AI understands where the contact is in the process.
- Review and refine prompts periodically based on the quality of AI suggestions.
