Roles & Permissions
Booked55 uses a role-based access system to control what each team member can see and do. Roles are assigned when inviting users and can be changed by the workspace owner at any time.
Available roles
| Role | Description | Key permissions |

| Owner | Full control over the organization. | All permissions. Can manage organization settings, users, roles, and billing. Cannot be deleted by others. |
| Admin | Elevated access for managing operations. | Can manage workspace settings, view all data, and configure most features. Cannot delete the organization or manage billing. |
| Manager | Team leadership with oversight capabilities. | Can use the global user filter to review team performance. Full access to contacts, pipelines, and activities. |
| Operator | Day-to-day operational access. | Can manage contacts, pipelines, events, activities, and campaigns. Cannot modify workspace settings. |
| Sales-person | Core sales workflow access. | Can manage their own contacts, pipeline items, activities, and campaigns. Limited access to organization-wide settings. |
| User | Basic access to the platform. | Can view shared data and manage their own profile. Most restrictive role. |
Changing a user's role
From the Users page, click the “Edit role” action on any user row. The Edit User Role modal lets you select a new role. The change takes effect immediately.
Best practices
- Principle of least privilege — Assign the minimum role needed for each user's job function.
- One owner — Have a single owner who manages billing and critical settings. Additional admins can handle day-to-day configuration.
- Managers for team leads — Give team leaders the manager role so they can use the global user filter to review their team's Scoreboard and data.
- Sales-person for individual contributors — This role gives salespeople everything they need without exposing workspace configuration.
